WHO IS KB FITNESS?

KB Fitness Ltd's registered company number is: 5840759, our VAT number is: 897 2228 82. KB Fitness is a martial arts school based in Central London, providing classes in the following disciplines: KBKickboxing.co.uk, KBKungFu.co.uk & KBSelfDefence.co.uk.

ICO REGISTRATION

KB Fitness has registered with ICO, the Information Commissioner's Office. Reference number: ZA363535. ICO certification is only granted to companies which can prove they honour all regulations associated with data protection.

ABOUT THIS POLICY

Being transparent and providing accessible information to individuals about how their personal data is used is a key element of the Data Protection Act 1998 (DPA) and the EU General Data Protection Regulation (GDPR). The most common way to provide this information is in a privacy notice. KB Fitness respects and is committed to protecting your privacy. This policy clarifies how we’ll collect and use your personal information.

HOW IS PERSONAL DATA COLLECTED

All personal data is volunteered by each individual directly. KB Fitness only liaises with individuals who have approached us with a view to obtaining our services. We do not cold call. Therefore, we have never sourced the information from a third party, including targeted B2C or B2B email lists. The information is given to us via an email or text, over the telephone and via the KB Membership Form (either digitally or hard copy).

WHAT DATA IS STORED

For people that try a class and existing members, the following information is stored:

  • Name
  • Email Address
  • Gender
  • Mobile / WhatsApp (if using) number.
  • D.O.B
  • Disclosed Medical Ailments

For initial enquirers, who've yet to try a class, the information could be Name, Email address and Mobile /WhatsApp number, depending on what is initially disclosed.

ACCESS TO PERSONAL INFORMATION

You may request a copy of the information we have on file for you by calling or emailing us with the details listed below. We are obliged to provide your personal data in a structured, commonly used and machine readable form. This information would be provided free of charge.

HOW THE PERSONAL DATA WILL BE USED

If you provide your data and give us permission, we will use your data to inform you about our services and should you join our school, use your email and contact number to assist in providing our service to you.

  • Create and manage your membership at KB Fitness;
  • Verify your identity and entitlement to products or services, when you contact us or access our services;
  • Provide you with technical and customer support;
  • Allow you to register products or services you purchase;
  • Provide you with customer support;
  • Subscribe you to a newsletter;
  • Enforce our legal rights or comply with legal requirements;
  • Provide you with advertisements, promotions and information about products and services tailored to you and your needs.

HOW WE'LL CONTACT YOU

When we contact you, we’ll use the personal details you’ve provided us. We will email, text/WhatsApp or call. If you have a preferred contact method and would like us to refrain from contacting you by a specific method, contact us at info@kbfitness.co.uk and we will follow your preferences.

HOW IS MY DATA SECURED

Processes are in place to ensure that your data is safely stored. KB Fitness prides itself in upholding data protection laws. Information is only viewed by the required personnel. If you try a class or sign up for a membership, the KB Membership Form you complete is destroyed, once a digital copy is made. The digital copy is held in a secure cloud based system, operated by Blended Digital Ltd, a company which has accreditation from the National Cyber Security Centre “Cyber Essentials” to demonstrate they work to protect the data they store from cyber-attacks. Blended Digital is also registered with the ICO to comply with new hosting requirements to be acknowledged as a “processor of data” on our behalf.

WILL MY DATA BE SHARED?

We have no intention of sharing data with third parties for marketing purposes. However, Blended Digital will have access to your data as we use their software systems.

LEGAL REQUIREMENTS

In certain instances, it may also be necessary for KB Fitness to disclose your personal data to government officials or otherwise as required by applicable law. No personal data will be disclosed to any law enforcement agency or governmental agency except in response to:

  • A warrant or other process issued by a court of competent jurisdiction;
  • A legal process having the same consequence as a court-issued request for information, in that if KB were to refuse to provide such information, it would be in breach of local law, and it or its employees would be subject to liability for failing to honour such legal process.

COOKIES

Fitness and its associated websites: KBKickboxing.co.uk, KBKungFu.co.uk & KBSelfDefence.co.uk do not use cookies. That said the following associated companies do:

- GOOGLE ANALYTICS COOKIES

These cookies are used to collect information about how visitors use our site. We use the information to compile reports and to help us improve the site. The cookies collect information in an anonymous form, including the number of visitors to the site, where visitors have come to the site from and the pages they visited. Your personal data is not disclosed.

- TAWK COOKIES

We have an online service, where you can discuss all things relating to KB Fitness in a live chat with the KB Administrator. We use a third party provider, Tawk, to supply and support our LiveChat service. Your name and email address are collected.

COMPLAINTS OR QUERIES

KB Fitness takes all feedback regarding the handling of personal data very seriously. To the point where we actively welcome constructive feedback if it is considered that we are collecting data in an unfair or misleading manner. Recommendations for improvement are most welcome. POLICY AMENDMENTS

We may update this privacy policy from time-to-time by posting due to legal or data processing developments. If we change the policy we will provide information on our website so that users can review the changes. If any new significant uses of your data are proposed, you will be contacted and given the opportunity to give or withdraw your consent.

Your rights as an individual are very important to us. You have:

DATA RETENTION PERIOD

Just in case one of our e-mails or texts ignites your interest in joining KB Fitness, we will retain your personal data and intermittently contact you until you opt-out. Once we are informed that you are no longer interested, we will cease to contact you and delete your data. The only exception to this rule is if KB Fitness is owed monies, then contact will continue until payment is made.
